Refund & Cancellation Policy

This Refund and Cancellation Policy sets forth the terms under which Dime Ecosystem Library Co., Ltd. handles cancellations, rescheduling requests, and refunds for paid educational advisory engagements, technical briefings, and validator infrastructure reviews.

1. General Policy Principles

Because our advisory engagements and custom research briefings require advance scheduling of senior research fellows, bespoke telemetry preparation, and reservation of limited calendar capacity, fees are structured to reflect actual research hours and committed resources.

2. Cancellation and Refund Schedules

A. Technical Briefings & Single Sessions ($650 USD)

• Notice Given 7+ Business Days Prior: Full refund (100% of the session fee) minus any unavoidable bank transaction processing fees.
• Notice Given 3 to 6 Business Days Prior: Eligible for a 50% partial refund, or full credit applied toward a rescheduled session within 90 days.
• Notice Given Less Than 72 Hours Prior / No-Show: Non-refundable, as the research fellow will have already conducted pre-session curriculum preparation and reserved the calendar slot.

B. Ecosystem Mapping & Multi-Week Advisory Engagements ($1,250 USD+)

• Cancellation Prior to Stage 1 (Before Intake Begins): Full refund of the 50% initial retainer deposit minus bank transfer costs.
• Cancellation During Stage 1 or Stage 2 (Work In Progress): Retainer deposit is retained to cover completed intake research and completed live workshop hours. Any uncommenced milestone balance will not be billed.
• Cancellation Following Delivery of Draft Memorandum: Non-refundable, as the full analytical work product and custom ecosystem map have been created and delivered.

C. Validator Operational Reviews ($1,850 USD+)

• Cancellation Prior to Telemetry Access Provisioning: 100% refund of deposit.
• Cancellation After Telemetry Audit Commenced: Pro-rated refund based on uncompleted audit days, retaining a minimum $600 administrative intake fee.

3. Rescheduling Terms

We recognize that engineering schedules and protocol deployment timelines may shift.

• You may reschedule any live workshop or briefing session up to 48 hours prior to the scheduled start time at no additional cost (subject to mutual research fellow availability).
• Emergency rescheduling requests received within 48 hours will be accommodated once per engagement cycle without penalty. Subsequent late rescheduling requests may incur a $150 administrative rescheduling fee.

4. Non-Refundable Items & Work Products

The following deliverables and expenditures are strictly non-refundable:

• Custom technical memorandums, architectural schematics, or ecosystem maps once formally transmitted to the client.
• Completed live advisory hours and workshop sessions.
• Direct, non-recoverable travel or lodging expenses incurred for contracted on-site engagements at client facilities.

5. Refund Request Process & Timelines

To initiate a cancellation or formal refund request:

1. Submit a written request from the primary contact email to contact@huborbitbase.click with the subject line “Advisory Refund Request - [Organization Name]”.
2. Include the invoice number, service engagement title, and reason for the request.
3. Our finance director will review and respond within three (3) business days.

6. Refund Method & Processing Windows

• Approved refunds will be credited back to the original funding source (corporate bank wire or original payment channel).
• Wire transfer refunds typically reflect in client accounts within 5 to 10 business days depending on international banking intermediaries.
